    Hello!

    Do any of your institutions allow clubs to collect money for fundraisers via Cashapp, Venmo, or credit card? If so, could you tell me how this happens behind the scenes!  What account is the Cashapp linked up to? Does each club have their own account, or is there one school account that all the funds are deposited in? We are old-school and still use cash for everything. Thank you!

    Hi there Tessa, 

    Here at Rutgers University-Camden, we do allow our clubs to use those for fundraising and bake sales.  The clubs make a reservation for a vendor table and then use their own linked accounts.  Some of them have specific accounts for their clubs or orgs, but most are their personal accounts.  They then have 24 hours to then transfer the money into their club account with our budget manager.  He then reconciles it and it's good to go.  Let me know if you need more info!  They are not allowed to use these apps for any events that they are selling tickets for though.

    At Wentworth Institute of Technology, we have a university SquareApp account that deposits into a university-owned account. Whenever student orgs want to host a fundraiser or have a specific fundraiser, they sign up with our student life office to 'check out' the SquareApp reader and get training on how to use the app. Any monies collected during their fundraiser are then deposited into their student organization account, once received at the end of the month from Square. Our administrative assistant is the person who manages this account for the university and we allow any registered student org, regardless of their home department, to use the app.

    We do not allow students to use Venmo or other app-based money collection, but do allow students to deposit cash into their accounts - but common sense says that students are likely using the apps to collect the money and then depositing the cash.

    Our recognized student orgs can register for what we call a self-support account with our co-op office. This is essentially a bank account on campus managed by our co-op office and is separate from the funds the RSO may receive from SGA. Co-op has a Venmo account that student orgs can use when doing sales/fundraising/collecting dues/etc. They instruct anyone paying to include the club name in the payment description and then the co-op office transfers the money into their self support account monthly. Our conference services office also has a ticketing system that students can use for various purposes and money collected there can also be directly transferred to the self support accounts.

    Similar to Joseph at Wentworth, instead of allowing student organizations to use Venmo or other app-based money collection services, we provide a few centrally administered alternatives.

    • Square. We also have a dozen or so loaner phones and Square Readers that can be signed out.
    • Eventbrite. For all approved events, we create a basic Event and then give the organization's planners access to flesh out the details, track sales, communicate with guests, and scan tickets at the door. (We are currently looking at Humanitix as an alternative to Eventbrite.)
    • Woocommerce. Our bank charges 2% total fees vs the exorbitant Eventbrite charges, so we encourage this for smaller events that will not require scanning at the door. Student organizations can also make use of this to sell merchandise or receive online donations.

    In all cases, funds are deposited in our bank and then our finance department reconciles sales and transfers the funds into the organization's internal account. Student organizations fill out an online form to request the service.
