  • 1.  Building Rounds Software

    Hello! We are researching software that we can use to capture data during rounds of our student centers and other areas. Ideally, we would like the software to provide us with a customizable form that student and professional staff can use to let us know about the status of our spaces and help to identify facilities needs. Bonus points if the software is easy to convert into work orders!

    Any advice would be appreciated!

    Apologies in advance if this gets a little confusing, I'm happy to jump on a call to show you our setup if you think it might work. It sounds like you need something like a ticketing system. I oversee our in-house Graphics shop and I set this process up this summer ("stole" the process from Grand Valley State). We have a university license of Qualtrics that I use for the intake form for our service requests. That form then gets fed into an automation platform (Zapier, low-level paid) that feeds it into a project management system (MeisterTask, free version). What ends up happening is that we get a task created for the request that includes descriptions of all the fields we need. We can then set due dates, assign the task, add comments, check lists, etc. and we can move the task into different columns as it works its way into the done column. You can also set up different projects in MeisterTask if you need to keep building needs separate from work orders. Or have two different forms that feed into the same project. Overall I think we're paying about $250/year and that's just for Zapier because we don't need the paid features of MeisterTask. You could use pretty much any forms gather system and project management system you prefer.

    Within our rec facility at the Cal State University, Northridge, we use Connect2 Concepts to capture data not only during rounds but also file incident/accident reports, work orders, and track employee tasks. They offer customization to build out forms/surveys based on your needs and setup communications channels to send reports to specific individuals.     We also use Connect2.  I can't speak highly enough of how it significantly improves operational  efficiency and communication among staff.  Game changer.
