We recently attended a demonstration from Campus Labs on their EMS integration with Room and Resources.  I am interested in connecting with any universities that are currently using this integration.  I see many pros for these two platforms to integrate but would also like to know if there are any cons before we consider this purchase.

    Hi Angela ~

University at Buffalo Student Unions in collaboration with Student Engagement is looking at this integration as well.  We have to wait to move forward because we are not on the most updated version of EMS.  I believe you need to have the Swagger API and be updated in order to integrate.

    Be well.

    Hi Angela,

We just recently started the integration process and I'm optimistic it's going to meet our needs. There are some quirks that we're aware of so far - mainly how the information ports over from Engage. Basically you can ask whatever questions you want in the event form in Engage and that information will make it's way into the request in EMS, but it won't connect up with any EMS resources or service orders. From what I understand, we'll need to add those items when we approve the request on the EMS end. This isn't a huge deal for us, but I could see how that would be a problem for a bigger campus.

It's still early days for us, so I'd be curious to hear from anyone else with the integration up and running.

    Best,

    Josh

Hi, I know Anthology/Campus Labs/Engage has made some updates related to the EMS integration. We are looking at exploring integration with this tool. For groups who have integrated, how has it been going? Have there been any concerns? For those who chose not to integrate, were there glaring concerns? Thank you for your thoughts! Please also feel free to email me directly at cml18@rice.edu.

    Hello Angela ~

The University at Buffalo implemented the Room Reservations Integration in January and can echo what Joshua said – it has some nuances/quirks.  I tell students 82.5% of the time it works great and just as planned, but that other 17.5%... is, well, frustrating.

    Pros:

    ·         Efficiency

    o   Decreases processing time/wait time

o   Decreases amount of data entry

    ·         It increases student awareness of spaces and limitations

    ·         The new integration is allowing us to simplify our request process, and we will be redoing our form, process flow, and adding branches this summer

    Cons:

    ·         Glitches

o   leaves the students that experience a glitch very frustrated with the process

o   As the main approver, I sometimes have to approve an event, and then manually go into the event to change the details because the correct room would not populate

    ·         Students/Education – students don't realize they are actually reserving space, so they add extra rooms or dates all the time as "back-up," which decreases efficiencies

Happy to discuss our experience more if it helps!

    Liz
